Front Desk Receptionist / Admin Assistant

- Hal-Far Industrial Estate, Malta

Reports to: DRS Manager

Objectives

  • Coordination of the BCRS Helpline by receiving calls and ascertaining they are addressed adequately either by addressing the queries directly in the first instance (first level support) or by forwarding them to the concerned department for further assistance (second level support).
  • Coordination with the Collection Service Provider, mainly on manual collection from Hotels, Restaurants and Catering Establishments making sure that the service is working efficiently and address any issues that may arise from time to time.
  • Customer Assistance and Escalations of issues raised by customers that need urgent addressing.
  • Providing the necessary support in Office Administration as deemed necessary from time to time
  • Coordinating, together with other stakeholders involved, any visitors to the Plant which may also include educational visits by local schools
  • Coordinating the availability of the Administrative Block facilities such as the Training Room, Meeting Room and Board Room for any meetings that are required to be held
  • Organising and coordinating Board meetings and Board of Directors visits to the Plant
  • Coordinating with the Company’s cleaning services an effective cleaning schedule of the Administration Block including the Canteen, rest rooms, showers etc.
  • Manage office supply stocks and place orders where necessary after obtaining the necessary approval
  • Ascertain all office equipment is in working order especially equipment which is leased and when servicing is due
  • Coordinate any travel arrangements that need to be made from time to time for the Company’s staff
  • Distribute mail to the staff when received and post any mail as requested
  • Personal assistance to the CEO, COO & CFO of the company
  • Maintain Call Log of visitors and visibility of all punched employees.

Qualifications & Requirements

  • Proven work experience as an Administrative Officer, Receptionist, or similar role
  • Excellent written and verbal communication skills in both Maltese and English is a must
  • Solid knowledge of office procedures
  • Experience with office management software like MS Office (Outlook 365, MS Excel and MS Word, specifically)
  • Strong organisation skills with a problem-solving attitude
  • Attention to detail
  • Tertiary diploma is a minimum requisite; additional qualifications in Office Administration are considered a plus.

Training

Comprehensive training will be provided to ensure the right candidate is fully equipped to handle all aspects of the role.
